We understand that some students are having trouble accessing documents shared via links. This guide will walk you through the steps of accessing these documents correctly using your MMDC-issued Google account, and provide tips to make sure you're not running into access issues.
1. Ensure You're Logged into Your School Account
To access documents that have been shared within MMDC, it's essential that you're logged into your MMDC-issued Google account. (e.g., lr.jdelacruz@mmdc.mcl.edu.ph).
Logging In to Google Steps:
1. Open your browser (www.google.com) and go to the Google sign-in page.
2. Sign in with your school email address (e.g., lr.jdelacruz@mmdc.mcl.edu.ph) and password.
3. Once logged in, your MMDC school account will be active, and you can begin accessing shared documents. This step ensures that you are accessing the documents via your school account.
Note:
- To check if you're logged in to your learner account, it should be your learner profile photo appearing at the upper right of your browser.
Why This is Important:
- Shared documents are restricted to MMDC accounts for privacy and security reasons.
- If you are logged into a personal Google account, you will not have access, and this is why some of you may be getting an "Access Denied" message.
2. Access the Shared Link
Once you're signed in to your school account, you should be able to access the link shared with you.
Accessing the Shared Link Steps:
-
Click the shared link in the Help Center guide.
-
If you're logged into your school account, the document should open right away. If it's a Google Doc, Google Sheet, or Google Slides file, it will automatically load in the corresponding Google application.
-
If you're still encountering access issues, follow the steps below.
3. Use Your School Email for Requests
If you still don’t have access, please make sure that you’re using your school email address (e.g., lr.jdelacruz@mmdc.mcl.edu.ph) when requesting access. If you're sending access requests from a personal Gmail account (e.g., yourname@gmail.com), the document owner will not be able to grant you permission since their settings are typically limited to school accounts only.
Note: Do not use personal Gmail accounts to request access; use your school-issued email.
4. Final Tips
- Always check if you are logged into your school account before trying to access shared links.
- We recommend creating your own browser profile to ensure that you are accessing the documents using your MMDC Google account. To learn more about creating your own browser profile, click here.
- If you continue to face issues, contact your mentor or IA Services to ensure the correct permissions are in place.
Creating a separate browser profile
Consider creating a separate browser profile dedicated to school activities. The process varies by browser, so for Google Chrome, follow these steps:
For Google Chrome:
- Open Chrome.
- Click your profile icon.
-
Choose "Add" to create a new profile.
- Name it "School Profile."
- Optionally, select a profile picture.
-
Follow Chrome's setup process.
For other browsers, you can usually find specific instructions online.
After creating a school profile, try accessing CAMU again to resolve the issue.
Why Create a Browser Profile for School?
- Personalized Settings: Tailor your browser settings for school-related activities.
- Enhanced Organization: Keep school and personal browsing separate for better organization.
- Security and Privacy: Isolate your school activities to enhance online security.
- Focused Productivity: Eliminate distractions and stay focused on your coursework.
